TTT BOARD MEETING MINUTES - - --10-13-12

1.       9:15 a.m. CST meeting called to order by President Steve Lee; opened in a short prayer time for help and thanks for the club and its members.

2.       Thanks was expressed to Kathy Lee for breakfast and to Sharon for coffee.

3.       Attendance  taken by President Steve Lee…In attendance: Buddy Cutts, Michael Bradford, Kenny Sandifer, Colin, Sharon/Dave Hopkins, Ollie Gregory, Rick Jacob, James Dean, Steve/Kathy Lee, Roger Tubbs, Channing Kilgore, Clark Harlow

a.       3 club members David/Sharon, James Dean, Jeff Sturm,

4.       Old business –

a.       Whitwell LZ – Steve reported he still has not talked to Mrs. Hudson about potential land but says he will be talking to her very soon

                                                               i.      Rick Jacob – ran into a pg pilot at raceway, possible land closer to Veteran’s Memorial in Dunlap the city will let us land in…details to come

b.      Had 3 pilots w/ some controversy – club was to send disciplinary letters to two…Ollie was to send the letters

                                                               i.      TTT Member #1 – Ollie talked to him about appearing before board, but hasn’t shown back up, members talked about how much they valued him and his former place at the club…Ollie wanted to talk to him first before sending him letter…

                                                             ii.      TTT Member #2 – Ollie lost info…he was from North Carolina

                                                            iii.      3rd pilot – of no real concern

c.       No other Old Business

5.       New business

a.       Toilet lid broke; needs replaced – brought to attention by Sharon

b.      Prior tabled discussion re: membership for 3 day membership of Lookout members w/ Gordon Cayce as supervisor brought to attention by Clark Harlow

                                                               i.      Ollie – refreshed group on the details of the situation – Gordon Cayce from Lookout Mtn seeks to bring new pilots as part of program of introducing pilots to new sites

1.       Ollie suggested: “Could club do $10 a day?”

2.       Much discussion about potential benefits and concerns about allowing new training situation to take place at Henson’s

a.       Pro’s

                                                                                                                                       i.      Potential new pilots for club and able to grow the sport; more that come, better it will financially help club

1.       Lots of new pilots on training hills; many don’t even know TTT exists

                                                                                                                                     ii.      Supervisor takes responsibility for students, upkeep of days used, use/abuse of site, etc

                                                                                                                                    iii.      Can make price just part of Gordon’s package to help reduce paperwork

                                                                                                                                   iv.      Can always try for a year and if doesn’t work, can scrap the program

b.      Con’s

                                                                                                                                       i.      More paperwork hassle

1.       Will be settled with by-laws amendment

                                                                                                                                     ii.      Tracking the days they are here or days that are used

1.       Supervising instructor will assume liability

c.       Expressed Cautions:

                                                                                                                                       i.      Limits: instructor must be on site to use 3 day pass

                                                                                                                                     ii.      instructor must be approved by BOD and be a member of TTT club

                                                                                                                                    iii.      Seek to manage new opportunity w/ current tandem guidelines

                                                                                                                                   iv.      Concern was expressed in having enough time left in year to get desire for by-law information change done in time; after discussion club realized there is ample time to get by-law issue clarified with upcoming mail out.

d.      Rick Jacob made motion to make bylaws change to move subject forward

e.      Motion: add new membership category to current bylaws: “$10 daily supervised instructional  membership”

                                                                                                                                       i.      Board passed unanimously

                                                                                                                                     ii.      Will have to be voted on by membership

                                                                                                                                    iii.      Letter/information will be sent to club members explaining why the need and/or desire to make a change in the by-laws of the club.

f.        Club expressed desire to retain good relationships with Lookout Mountain and together help grow sport of hang gliding.

g.       Dan Shell is to be informed of need for new possible bylaw change

h.      Kenny suggested ‘Why not include bylaw change and Christmas party information in mail out?’

i.         Roger expressed desire we need to include explanation why of change to bylaws to members so they understand it

c.       Potential of putting TTT ad in HG magazine for new H2’s to come fly here…brought to attention by Kenny Sandifer

                                                               i.      Colin – advertizing, why not use the top pilots that flew here in advertisement?

                                                             ii.      No motion or action was taken to carry out idea.

d.      Possible new board members next year

                                                               i.      Steve asked if anyone does not want to be on ballot for next year?

1.       Buddy Cutts announced he will not seek to serve on the BOD next year

                                                             ii.      Several offered new suggestions for people on the ballot

1.       James Dean expressed personal desire to be on BOD

2.       James dean says he is a software specialist and can fulfill Buddy Cutts webmaster position if he is elected to the BOD

e.      Stove pipe has a hole in it that needs fixed was brought to club’s attention by Roger

f.        Desire for the Scooter Tow was discussed

                                                               i.      Roger expressed “needs help if he’s gonna fix it…”

1.       Clark Harlow, Colin, and Channing Kilgore accompanied Roger after the meeting and got the scooter tow. Roger is now working on it to get it in working condition.

                                                             ii.      Ollie said Mark Dowsett and Nick Jones from Canada are willing to come down next year to Team Challenge to help us w/ scooter towing

                                                            iii.      Much talk about making scooter towing safe if we as a club decide to do it again…was also some discussion re: the recent accidents involving the towing during TC and missed mistakes the increased the risks for mistakes

                                                           iv.      James Dean expressed desire that “when we train I’d like to be part of training how to use the scooter tow”

                                                             v.      Club was also reminded by a member present that “also we need to think about acquiring equipment such as glider, release, etc”

                                                           vi.      Ollie said he will start talking w/ Mark Dowsett about getting potential scooter tow training in motion after Roger looks at scooter tow first

6.       Committee reports

a.       Financial Report by Michael Bradford

                                                               i.       The Club remains in good financial shape.

                                                             ii.      Food report team challenge – 41 prepaid, $3,594 brought in on food, $4,119.32 spent on food…

b.      Membership report by Buddy Cutts

                                                               i.      155 members

c.       Bylaws – no report; Dan Shell was absent

d.      History – no report; Tim Cocker was out of town

                                                               i.      Michael Bradford summarized the talk by Dick Stern, a founding member of TTT, that Dick gave at TC.

e.      Social committee – no report; Barry Klein was not here…

                                                               i.      Took suggestions about what to do for Christmas party

                                                             ii.      Talk about possibly using “Back Street Diner’ in Dunlap which has upstairs room

1.       Motion passed unanimously

                                                            iii.      Date for party was tentatively set depending on restaurant availability for 2nd Saturday, December 8th   @ 7 pm eastern pending approval by the diner

f.        Maintenance report – Rick Jacob

                                                               i.      Broken commode tank cover

                                                             ii.      $1,800 dirt at Whitwell to upgrade launch

                                                            iii.      $700 spent on gravel at Henson for pavilion was raised some to prevent mudville.  Gravel also used on driveway & walkways.

                                                           iv.      Numerous trees were cut by Dustin Blewett.

                                                             v.      Whitwell project – erosion control material put down on newly modified ramp at Whitwell…Dustin Blewett did a huge amount of work in improving the launch using his equipment…much thanks from the club for his work!

                                                           vi.      Concern was expressed about need to winterize the bathroom.

g.       Safety committee

                                                               i.      Safety boxes are full, few miscellaneous items to take care of

                                                             ii.      Risk mitigation plan is also taken care of

h.      Paraglide committee

                                                               i.      3 paraglide pilots participated in Team Challenge…used grant to fund their entrance fees

i.         Information Technologist – Michael Bradford

                                                               i.      Nothing new to report

j.        Competition – Ollie Gregory

                                                               i.      Nothing till next year

                                                             ii.      Thinking of moving Team Challenge back some closer to warmer weather towards 1st of September

k.       Awards committee – Kathy Lee

                                                               i.      Working on who and for what the rewards are to be for

                                                             ii.      3 awards to be given: TTT of the  year, distance, notable flight

                                                            iii.      Nomination names for TTT of year: Dustin Blewett, Kit Martin for bringing many new members to Henson, Kip Stone t-shirt donation, James Dean – rebuilding Whit launch and fixing dozer, Paul Edwards – working on Whitwell launch and club input, Rob Dallas – help at Whitwell launch, cash donation toward TC and club scribe, Channing Kilgore – help at Whitwell launch

7.       Favorite neighbor gifts

a.       Hudson, castles, FBC Whitwell, Ms. Basham, Galloway, rescue squad of Dunlap, Mr. Standifer in Pikeville

8.       Misc. news

a.       Ollie met some new folks who opened their field/farm to TTT landing there, about 8 miles north

b.      Michael Bradford – city of Dunlap bought pasture land in middle of town that may be suitable for us to land in, city asked what to do to get people to fly during Vallefest…

9.       Next BOD meeting – 2nd Sat. in November
